Our client is a well-established commercial corporate Legal firm based in the heart of Tauranga CBD. About the role:

This is a proactive full-time role to oversee the storage, retrieval and archiving of documents and to provide excellent general administrative assistance, to help our client cement their position as a premium legal practice in the Bay of Plenty. No legal experience is required for this role.

 

The position:

  • Responsible for the management of documents in either electronic or physical databases
  • Oversees the storage, retrieval and archiving processes
  • Manages the uplift and deposit of records such as deeds, wills and death notations, including notation in electronic systems
  • Maintains internal databases (e.g. client database)
  • Ensures document destruction is managed to the firm’s standards of confidentiality and security
  • May liaise with external providers (e.g. records management and document destruction providers)

 

Administrative responsibilities:

  • Provides reception cover for breaks / annual leave / sick leave
  • Assists with internal / external deliveries
  • Assists with meeting room set up / clean up
  • Photocopiers – low tech maintenance
  • Orders office stationery supplies, firm printed stationery, business cards, rubber stamps for staff
  • Building maintenance management under direction of Practice Manager (e.g. arranging electricians, plumbers, waste bin collection etc)
  • Adhoc duties including; ordering flowers, purchasing birthday cards / gifts, keep fridges stocked with milk etc
  • Client interaction and service: provides excellent service to internal clients
